Urgent charter flight for 60 passengers stranded in Sicily

A scheduled flight cancellation, 60 passengers needing to return to Madrid, and an operation changing by the minute. This is how our team arranged a last-minute charter flight from Sicily.
Sunday: finding an aircraft for the following day
It all started around midday on a Sunday.
Luz Morales, who was on duty that weekend, received a call from a travel agency:
“Luz, I need your help.”
Iberia had just cancelled the scheduled Catania–Madrid flight for a group of 60 passengers.
The agency faced a double challenge: allowing its client to complete the event as planned while ensuring that the group could return to Madrid on time, without disrupting the overall logistics.
For our team, the challenge was clear: find an available aircraft on a Sunday to operate the flight the following day.
Several aircraft options within a few hours
Within a few hours, Luz identified several available aircraft and presented different options to the agency:
- a CRJ 900, configured with 78 seats;
- a Dash 8 Q400, also configured with 78 seats;
- a Boeing 737-300, configured with 104 seats.

The agency showed a preference for the Boeing 737-300, an aircraft we had previously used for an incentive group operation. The client, however, favoured the CRJ 900, which offered a more attractive price while retaining the speed and performance of a jet aircraft.
The Dash 8 Q400, however, offered the most competitive price. More importantly, the aircraft was based in Malta, close to Catania, which meant it could be positioned quickly to operate the flight.

For this reason, it was the option recommended by Luz.
In a last-minute operation, price and aircraft type are of course important, but the aircraft’s location and how quickly it can be positioned can become decisive factors. In this type of situation, every hour counts and speed of execution is essential.
The client nevertheless decided to wait, hoping that the airline would be able to provide an alternative solution.
The final decision was therefore postponed until Monday morning.
Monday, 11:10 am: we get the green light
At 11:10 am, we received the client’s confirmation.
From that moment on, every minute counted.
The aircraft was available, but we still needed to find an airport able to accommodate the operation. And the situation in Sicily was particularly complex.
Catania was closed, while other airports in the region were having to absorb part of the diverted traffic.
On top of this, there were two critical constraints in any charter operation: airport slot availability and the crew’s remaining legal duty time.
The race against the clock had begun.
A race against the clock
12:25 pm — Comiso. The airport confirmed that it could not accept our operation. It was primarily handling diverted flights, while weather conditions were creating further operational uncertainty.
12:26 pm — Palermo. We immediately began working on Palermo as an alternative. However, the airport was saturated and obtaining a quick confirmation proved difficult.
12:55 pm — Reggio Calabria and Trapani. We expanded the slot search to both airports simultaneously.
Reggio Calabria eventually had to be ruled out due to the airport’s characteristics and operational limitations for the planned aircraft.
Meanwhile, the crew’s remaining allowable duty time continued to decrease.
At 2:00 pm, although the departure airport had still not been confirmed, the client decided to put the 60 passengers on a coach and start moving them towards Palermo and Trapani.
Then, at 2:20 pm, the confirmation arrived:
Trapani could accept our flight.
It had taken 3 hours and 10 minutes from the client’s final confirmation to secure a viable airport solution and allow the operation to move forward.
7:55 pm: departure for Madrid
The passengers arrived at Trapani Airport at around 6:00 pm.
The final stages of the operation were coordinated with the aircraft operator, crew, airport and ground-handling providers.
At 7:55 pm, the aircraft finally departed Trapani for Madrid with all 60 passengers on board.
An operation that had begun with a simple phone call on Sunday:
“Luz, I need your help.”
When Plan A fails, you need a Plan B. And a C. And a D.
Arranging an urgent charter flight is not simply a matter of finding an available aircraft.
A last-minute operation also requires checking airport slots, opening hours and restrictions, ground-handling availability, aircraft limitations and crew duty-time constraints.
Most importantly, you need to be able to move immediately to an alternative when the original plan is no longer possible.
During this operation, Catania, Comiso, Palermo, Reggio Calabria and Trapani were all considered at different stages before the departure airport could finally be confirmed.
